Before you start
- It’s a personal connection. It belongs to you, not to your organization. Each person who wants to send email from their chats connects their own address, and one person has one Gmail connection.
- Who can connect it: starting the connection needs a role that can manage integration connections: an Admin or a Managing Editor, or a custom role that includes that permission. See Roles and permissions.
- Who can send: sending needs a role that can publish: an Editor, a Managing Editor or an Admin.
- What you need: a Google account with Gmail.
Connect
1
Start the connection
Open Account settings → AI Preferences. Under Integrations, find Gmail and choose Connect.
2
Approve access in Google
Weelkit sends you to Google. Sign in with the Google account you want to send from, and approve the permission to send email. Approve everything it asks for. Start again from Weelkit if you wait more than 10 minutes.
3
Check the connection
Back in Weelkit, a message says Integration connected successfully and the card reads Connected as followed by your email address.
What the AI does with it
Ask in a chat, for example “Email the launch summary to ops@example.com.”- The AI needs one exact recipient address and a subject for each email.
- Before anything is sent, the AI shows the recipient, the subject and the message exactly as they will go, and waits. Nothing is sent until you choose Approve; Deny sends nothing.
- Each approval covers one message, exactly as shown. Remember this approval isn’t offered for email. Changing the recipient, subject or message needs a new approval.
- The email is sent from your connected address, as a new message to one recipient. Gmail files it in your Sent folder like any message you send. Replying inside an existing conversation isn’t offered.
- A subject can have up to 500 characters and a message up to 10,000. Longer text is rejected rather than shortened.
- Weelkit sends an email once and never retries it by itself. The send counts as confirmed once Gmail accepts it. That doesn’t mean someone has read it or that it reached their inbox. If Gmail doesn’t confirm it, the AI says the outcome is unknown. Check your Sent folder before you approve another send.
Limits and what you control
- You approve every message, with its recipient, subject and text in front of you.
- Nothing is read. Weelkit has no permission to open your mailbox, so it can’t search it, read it or change it.
- One address. To send from a different Gmail address, disconnect, then connect again with the other account.
- Gmail’s own limits apply. If Gmail rate limits a send, the AI tells you and you can try again later.
Disconnect
Open Account settings → AI Preferences. Under Integrations, on the Gmail card, choose Disconnect.- Weelkit deletes its copy of your Google access and stops all sending.
- Messages already sent stay in your Sent folder and with their recipients.
- Disconnecting doesn’t remove Weelkit from your Google account. To do that, open your Google Account permissions and remove Weelkit.
- The record that you connected the address is removed when you delete your account. See the Privacy policy.
Troubleshooting
The card under Integrations says what is wrong:
If you see Connection Failed after returning from Google:
If the AI can’t send:
