# Knowledge

> Add the references, templates and research your team and the AI should reuse, control who can see each one, and archive or restore them.

**Knowledge** is your organization's shared library of documents: company facts, house templates, research and data. The AI searches it when it writes and answers, and you can point it at a specific item by typing **@** in the chat.

## Knowledge types

| Type | Use it for |
| - | - |
| **Reference** | Company facts, processes, documentation, and enduring background. |
| **Template** | Reusable structures, examples, checklists, and formats. |
| **Research** | Reports, studies, evidence, datasets, and time-sensitive findings. |

## Add knowledge

1. Choose **New knowledge**.
2. **Choose file**: PDF, DOCX, XLSX, PPTX, CSV, Markdown, TXT or JSON, up to 20 MB.
3. Check the **Document title** (Weelkit fills it in from the file name) and pick the **Knowledge type**.
4. Under **Use this for**, explain when teammates (and the AI) should use it.
5. Under **Who has access?**, choose **Everyone in the organization** or **Selected teammates only**, and pick the teammates.
6. Choose **Add knowledge**.

Weelkit then reads the document. Its card shows **Processing** until it's ready. If Weelkit couldn't read it, its status is **Needs attention**: upload a new version.

## Find and preview

Search by title or by what it's used for, and choose **Filters** to filter by type, status (**Ready**, **Processing**, **Needs attention** or **Archived**), access and file type.

Choose a document to preview it. PDF and DOCX files show as pages; CSV files show their first 100 rows and 20 columns. XLSX and PPTX files have no preview: choose **Download original** to open them.

Each document's **⋯** menu has:

* **Info:** the description, type, status, access, file, size, version, who created it, and when it was created and last updated.
* **New version:** pick a file, then choose **Upload** to confirm. The new version replaces the active one, and Weelkit reads it again. Earlier versions stay stored, but only the active version can be opened.
* **Archive:** see below.

**New version**, **Archive** and **Restore** are available to the person who added the document, and to Managing Editors and Admins.

## Archive and restore

Archiving takes a document out of your Knowledge, and the AI stops using it. Nothing is deleted.

1. Open the document's **⋯** menu and choose **Archive**.
2. In **Archive knowledge?**, choose **Archive**.

Archived documents appear under the **Archived** status filter, and can't be opened. To bring one back, open its **⋯** menu and choose **Restore**. It's back in your Knowledge, and the AI can use it again.

## Who sees what

People only see, and the AI only uses for them, the knowledge they have access to. Knowledge shared with **Selected teammates only** stays out of everyone else's search, chat references and AI answers.
