# Gmail

> Connect your Gmail address so the AI can send the emails you approve. Weelkit only sends; it never reads your mailbox.

Connect Gmail and you can ask the AI to email something, such as an article summary, to a person you name. Weelkit shows you the recipient, subject and message, and sends it from your own Gmail address only after you approve it.

**Gmail is send-only.** Weelkit asks Google for permission to send email from your address and to know which address that is. It can't read, search or change your mail, and it keeps no copy of it. If you ask the AI to read or search your inbox, it tells you it can't.

## Before you start

* **It's a personal connection.** It belongs to you, not to your organization. Each person who wants to send email from their chats connects their own address, and one person has one Gmail connection.
* **Who can connect it:** every member of your organization, whatever their role. You connect and disconnect your own Gmail address, and nobody else can change or disconnect it for you.
* **Who can send:** sending needs a role that can publish: an Editor, a Managing Editor or an Admin. A Writer or a Designer can connect Gmail, but the AI can't send email for them. See [Roles and permissions](https://docs.weelkit.com/get-started/roles.md).
* **What you need:** a Google account with Gmail.

## Connect

**1. Start the connection**

Open [Account settings → AI Preferences](https://docs.weelkit.com/settings/account.md#ai-preferences). Under **Integrations**, find **Gmail** and choose **Connect**.

**2. Approve access in Google**

Weelkit sends you to Google. Sign in with the Google account you want to send from, and approve the permission to send email. Approve everything it asks for. Start again from Weelkit if you wait more than 10 minutes.

**3. Check the connection**

Back in Weelkit, a message says **Integration connected successfully** and the card reads **Connected as** followed by your email address.

## What the AI does with it

Ask in a chat, for example "Email the launch summary to [ops@example.com](mailto:ops@example.com)."

* The AI needs one exact recipient address and a subject for each email.
* Before anything is sent, the AI shows the recipient, the subject and the message exactly as they will go, and waits. Nothing is sent until you choose **Approve**; **Deny** sends nothing.
* Each approval covers one message, exactly as shown. **Remember this approval** isn't offered for email. Changing the recipient, subject or message needs a new approval.
* The email is sent from your connected address, as a new message to one recipient. Gmail files it in your **Sent** folder like any message you send. Replying inside an existing conversation isn't offered.
* A subject can have up to 500 characters and a message up to 10,000. Longer text is rejected rather than shortened.
* Weelkit sends an email once and never retries it by itself. The send counts as confirmed once Gmail accepts it. That doesn't mean someone has read it or that it reached their inbox. If Gmail doesn't confirm it, the AI says the outcome is unknown. Check your **Sent** folder before you approve another send.

See [Chat with Weelkit AI](https://docs.weelkit.com/chat/chat-with-ai.md#when-the-ai-needs-something-from-you) for how approvals work.

## Limits and what you control

* **You approve every message,** with its recipient, subject and text in front of you.
* **Nothing is read.** Weelkit has no permission to open your mailbox, so it can't search it, read it or change it.
* **One address.** To send from a different Gmail address, disconnect, then connect again with the other account.
* **Gmail's own limits apply.** If Gmail rate limits a send, the AI tells you and you can try again later.

## Disconnect

Open [Account settings → AI Preferences](https://docs.weelkit.com/settings/account.md#ai-preferences). Under **Integrations**, on the **Gmail** card, choose **Disconnect**.

* Weelkit deletes its copy of your Google access and stops all sending.
* Messages already sent stay in your **Sent** folder and with their recipients.
* Disconnecting doesn't remove Weelkit from your Google account. To do that, open [your Google Account permissions](https://myaccount.google.com/permissions) and remove Weelkit.
* The record that you connected the address is removed when you delete your account. See the [Privacy policy](https://weelkit.com/privacy).

## Troubleshooting

The card under **Integrations** says what is wrong:

| What you see | What it means and what to do |
| - | - |
| **Connection pending** | The connection didn't finish. Choose **Disconnect**, then **Connect** and finish at Google. |
| **Reconnect required** | Google access expired. Choose **Disconnect**, then **Connect** to authorize again. |
| **Authorization revoked** | Access was removed in your Google account. Choose **Disconnect**, then **Connect** again. |
| **Connection needs attention** | Weelkit couldn't use the connection. Choose **Disconnect**, then **Connect** again. If it keeps happening, contact [hello@weelkit.com](mailto:hello@weelkit.com). |
| **Not configured on this server** | Gmail can't be connected here. Contact [hello@weelkit.com](mailto:hello@weelkit.com). |
| **Availability unknown**, or "Couldn't load integrations." | Weelkit couldn't check what's available. Choose **Retry**. Connected accounts keep working. |

If you see **Connection Failed** after returning from Google:

| Message | What to do |
| - | - |
| "Permission was not granted." | You chose not to allow access. Choose **Connect** again and allow it. |
| "The required permissions were not granted." | Google let you approve only some of the access. Connect again and approve everything, including the permission to send email. |
| "This connection attempt expired or has already been used." | Choose **Connect** again. A connection attempt lasts 10 minutes and works once. |
| "Your organization access changed." | Ask an Admin to confirm your access, then connect again. |
| "The provider is temporarily unavailable or rate limiting requests." | Wait a few minutes, then connect again. |

If the AI can't send:

| What the AI says | What to do |
| - | - |
| A valid recipient email address and non-empty message body are required. | Give one full email address and some message text. |
| The email subject or recipient contains characters that are not allowed in an email header. | Remove line breaks or unusual characters from the subject or address. |
| Reconnect Gmail to confirm a valid sender email address. | Choose **Disconnect**, then **Connect** again. |
| Gmail needs fresh authorization, or is missing a required permission. | Choose **Disconnect**, then **Connect** again and approve everything. |
| Email thread replies are not supported. | Ask for a new message instead of a reply. |
| The email provider did not confirm delivery. | The outcome is unknown. Check your **Sent** folder before you approve another send. |
| Reading the Gmail inbox is not available. | Weelkit only sends email. Open Gmail to read it. |
